Contact Lists

Call Backs Selecting Call Backs will open a date range window. You can either enter the date, it is not necessary to enter the “/” or you can double click in the date field and a calendar will appear. In the instance of a date range such as this, note that it is a “TO” date. In order to get all the data you need, you need to extend the date one day past the day you want data for. Selecting 07/01/96 to 08/01/96 will give you all callbacks in July, not including 08/01/96. With your date range entered, click GO on the date range window to generate a list of callbacks.

Contact Type This will bring up another selection screen where you can select the “type” of contact you want to search for (customer, consultant… You can choose to search for more than one contact type at a time, or you can run individual lists by type.. To make your selections click on the appropriate contact type. Reports and labels can be generated directly from the Contact Type window.

Direct Mail Using the Direct Mail option you can generate reports or print labels for various Mail categories. As with Contact Type you can generate the list for one selection or for multiple selections. Reports and labels can be generated directly from this Direct Mail window.

Direct Support /Preferred Customer Program This is a quick way of getting a list of the customers you have enrolled in Direct Support/Preferred Customer Program. Reports and labels can be generated directly from the options window.

Family Friends You can use this for creating a list of contacts with family & friends checked. Reports and labels can be generated directly from the options window.

Money on Account This will create a list of people that have outstanding balances. Both customers owing, and customers carrying a credit balance will appear on this report. Reports and labels can be generated directly from the options window.

Birthdays / Anniversaries Lists, Reports and Labels can be created for any of the contact date types, birthdays, anniversaries, spouse birthdays and other dates. This option will open a date range window first. You can select a date range option or enter your own dates. After entering your date range the “Birthday List” window opens. Reports can be created for one or more date types at the same time. You can also filter out contacts by selecting family friends, customer window types, consultant window types, direct support or the contact type which will limit the dates displayed to one of these groups.

Reports and labels can also be sorted by either Day or Last Name. Reports and Labels can be generated directly from the Birthday List window. Click OK to generate a list to the Lister.

Customers Who Purchased: With the Customers Who Purchased option you can create lists of contacts that have purchased specific products. Product purchases can be searched by part number, product description or product color. The search will search for the string anywhere within the field instead of including only exact matches. (Let's you identify "mascara" customers no matter the type purchased)Lookups are provided in the Customers who purchased window for product description and color. With the product information entered you can create reports or labels with the icons or click GO to create a list in the Lister.

Customers not contacted in over… Lists, Reports or Labels can be created based from the contact’s Last Contact date field. Selecting this option will open an additional window where you can enter the number of days since last contact.

Queue One, Queue Two These options create lists, reports or labels for the two queues. Reports and Labels can be generated directly from the options window

ADVANCED The “Advanced” option opens a search criteria window. This option let’s you create lists/labels/reports of all contacts which meet a specific search criteria. Activate the desired selection option by clicking the option button next to it.

The profile search let’s you group contacts by a selected field in the customer profile. (All contacts where Cleanse = 2 or Tones = Ivory) The field search options groups contacts by a selected field. (All contacts where City = Madison or Consultant Unit # = A2234) The Contact $$$ let’s you group contacts by sales info. (All contacts where This Year Sales > $200) The Contact Dates option groups contacts based from contact date information. (All contacts where Last Contact > 06/19/1999)

You can also limit your search criteria to a specific contact type. (All contacts where Cleanse = 2 and Contact Type = Customer)

The "Field Search"option has a selectable operator. "=" for equal to and "<>" for not equal to. This let's you create a list of everyone where a selected field is equal to nothing (everybody without an email address) or everyone where a selected field is not equal to nothing (everybody with an email address). These searches can still be qualified with the contact type option. (all customers with an email address)

Contact Selection This is a Director’s Assistant Feature!! Lists, Reports and Labels can be created for your various Contact Selections (Also a Director’s Assistant Feature). Reports and Labels can be generated directly from the Contact Selections window. SEE CONTACT SELECTION

Contact Session Log This is a Director’s Assistant Feature!! Generate a list of your current contact session. The list will include each contact you have visited during the current user session. Great for checking to make sure that you’ve gotten through your entire day or entered all of the invoices from a class etc.
