Transfer to Mail

To transfer a group of contacts into a Mail Category, select the group from the list by highlighting each contact in the group. You can use your shift key for contigous contact’s or the Ctrl key for non-contiguous contactas. If everyone on the list is to be transferred, click “Select All”. With the group highlighted, click on “To Mail” to open the Mail window. The Mail window opens with 2 additional options. “Add” and “Remove”. The window will default to Add when it’s opened. Select the mail category/s and click “OK” to add the selected contacts into the selected Mail category/s. The procedure is the same to remove selected groups but you select “Remove” in the Mail window.

Transfer to Queue

The queue icons in the Lister are used to transfer selected contacts into one of the 2 Queues. To transfer a contact into one of the queues, click on the contact’s name in the Lister to highlight it and click on the queue icon. The transfer will be confirmed. You can select multiple contacts holding the shift key to select a group of contacts or holding the Ctrl key while you select for contacts that are not next to each other.

Automatic History

The really bad picture of Abe Lincoln is used to insert a history note into a group of contacts at the same time. Update a group of contacts all at the same time. Great for mailings or other bulk actions. After generating a list click on Abe to open the Auto History window.

The note that you enter into this window will be inserted into the history file of each contact on the list along with the date displayed in the window. You can change the date just like any date field. Check the “Update Last Contact” option if you would like Auto History to update the Last Contact field of each contact on the list with the date displayed in the window.

Merge Letters/Envelopes

Merge letters work just like the single letter only the letter will be merged with each contact on the current list. Merge letters can also be saved just like regular letters. Saved Merge letters are opened using the Merge Letters/Envelopes icon in the Lister.

To create a merge letter, open the Contact Lister and create a list of contacts using any of the available criteria. You can also edit the list of contacts, adding or dropping contacts as you wish. With the contact list open, click on the Letter icon in the Lister. This will open the Quick Letter window where you can type your letter. All features of the Quick Letter are available for Merge Letters. Letters can be printed, saved and edited. One difference with the merge letter is that when you click the Print button, the system will display the letters in the Report Viewer rather than sending them directly to the printer. This is to avoid memory problems with some printers unable to print large print jobs all at once.

To create merge envelopes, create your contact list and click on the Letters icon in the Lister. Click on the Envelopes tab in the Quick Letter window. Envelopes are printed using your existing envelope format. Merge envelopes are also displayed in the Report Viewer to avoid memory problems.
