Contact Lister

The Contact Lister is a powerful feature which assists you in creating mailing labels, reports, merge letters and envelopes or grouping contacts and stepping through and locating various contacts without having to search through all of your contact files. The Contact Lister can also be used to update your Mail categories adding or removing entire groups or adding a History note into an entire group of contacts. (Contact Selection and Session Contact Log are Director’s Assistant Features)

To access the Contact Lister ; click on the Lister icon, or select “Lister” from the “View” menu. With the Lister you have the ability to print reports, view reports to screen or print mailing labels for various contact group selections i.e.) call backs, birthdays, contact types, direct mail categories, etc. Lists can be edited before printing.

To make selections in the Lister, click on your selection and then click on “List”. You can also double click on your selection. Depending on the option selected, a list of contacts that fit the selected criteria will appear in the Lister. Some options will open additional windows to enter additional criteria such as date ranges etc. Once you have generated a list to the Lister, you can always get your options menu back by clicking on the List button. THE LISTER DISPLAYS CONTACTS YOU HAVE A BALANCE ON ACCOUNT IN RED NO MATTER WHAT THE LIST.

Moving through contact records with the Lister

After creating a list of contacts, you can advance through the contacts by clicking on the contacts name in the Lister. With the contact window open, the window will advance to the contact highlighted in the Lister. You can then use the arrow keys on your keyboard to move up and down the list advancing the contact window as you go.

Dropping Contacts

After generating a list, you may not want to include everyone found. You may start with a list of leads but not want to send something to each and everyone on the list. You can drop contacts from a list by selecting the contact’s name on the list to highlight it, and clicking the “Drop” button. This will remove the contact from the list. THIS DOES NOT CHANGE WHY THE CONTACT WAS ON THE LIST IN THE FIRST PLACE OR CHANGE ANY INFORMATION IN THE CONTACT’S FILE. If you generate another list your dropped contacts will appear again. You may also select multiple names before clicking the “Drop” button to drop multiple contacts at the same time. By holding the shift key down you can select a range of contacts. Holding down the Ctrl key as you select contacts allows you to select contacts that are not next to each other.

Lister Reports When clicking on the View Report icon reports are displayed in the Report Viewer which is used for all reports generated by the system. Generally, printing or viewing reports with the Lister will open the Report Selection window.

You can select various reports and control their sort order. Reports include the Address List that lists the contact’s Name, Address, Consultant # and Home/Work phones. The Phone List lists Name, Address and up to 6 phone #”s. The Customer Info report lists Name, Address, Phones, Email, Referred By, Hostess and Occupation. The Consultant Info report lists Name, Address, Phones, Cons #, Recruiter, Director and Occupation. The Sales Detail and Sales Summary reports are the same reports that are available under the Reports Menu. The Email List includes Name Email and Phones.

Printing Lister Reports Reports are printed with the Print icon The reports that are printed are identical to reports displayed to the screen. Reports can also be printed after they have been generated to the screen.

Lister Labels To open the mailing labels window, click on the Mailing Labels icon. When opening the mailing labels window from the lister, you will be creating labels for all contacts currently displayed in the lister. See Mailing Labels.
