Contact tracking window

With the system you can not only track people involved in your business, but also friends, relatives, teachers, scouts etc. The system is designed so that various groups can be entered even though they are not directly connected to your business. In reality, many customers are friends or involved with scouts or family members or whatever. The system is extremely flexible allowing customers to be part of your church group and on your Christmas list at the same time. Since not all contacts will be customers, the system can display contact information in 1 of 5 different windows, allowing you to select the contact type which will best meet the need of that particular contact. There are five different types of contact windows. They are:

Consultant

Displays Basic Note Information and extended dates

Large Note Area

Purchase file and cosmetic profile information.

You can setup up to 15 different Contact Window Types.(the system is shipped with 9 defaults which can be changed at any time) Contact Types can be used when creating different lists for reports, labels, queries etc. As a contact’s status changes you simply change the Contact Type in your contact’s file to reflect the change. Here’s an example:

You meet someone at the mall who has not purchased anything yet, and you enter them into your system as a Lead. The information displayed is basic; name, address, phone, notes, directions, etc. Later you create some mailing labels for your Leads and send them some additional information about a sale you are having.

Your contact calls and she wishes to place an order. You change her Contact Type from Lead to Customer. The information displayed changes, and you can now enter profile information. The customer’s purchases will be displayed in the Past Purchases window, and you will see a section that tracks her yearly sales and account balance. Later you create mailing labels for your customers using basic skin care and send them information which includes a recruiting brochure.

Later she becomes a consultant and you change the Contact Type from Customer to Consultant. The Past Purchases window will be replaced by a Sales History window to display weekly summary information. The profile card will be replaced by notes, and the sales section will display the consultant’s yearly sales information. No information is ever “lost”. You can always change her back to a Customer and the system will display her past purchases and customer information.

Editing Contact Types

You can edit contact types by clicking on the background of any contact window with your right hand mouse button and selecting “Add/Edit Contact Types” from the pop up menu which appears. Select the contact type you wish to edit or click “Add” to create a new one. You can change the Description and the type of window used in the fields to the right. Change the colors used to display the contact type by clicking on the Backcolor or Forecolor buttons. Select the colors from the colors dialog box. Click “OK” or another contact type to save your changes. Changing contact types changes how existing contacts are displayed.
