Contact selections are contact groups or queries which are based from contact information entered into specific fields. (All contacts where Unit # = 3342) Contact Selections are used to create Custom Reports, lists, or mailing labels and to track teams with Quicktrak. Once created, contact selections can be utilized over and over. Contact Selections can also be “Linked” to add to the selection criteria. ( Create a group where the Zip Code = 55432, 55433, 55444, 55544,or 55543) Possibilities for various groups are virtually unlimited.

Creating Contact Selections

It is recommended that you utilize the Contact Lister to create and test contact selections. Open the Contact Lister and select the “Contact Selection” option. Click on “List” to open the Contact Selection window.The contact window will display all saved contact selections. If there are no contact selections in your database the window will display “No Selections Setup”. To Create a Contact Selection, click on the “Create” button to open the Create Contact Selection window.

Contact Selections are created by selecting an option with a check in the check box to the left which activates the selection to the right. As you create contact selections, a description of the selection that you are creating is displayed at the top of the window. You can activate as many options as are necessary.

The first two options match a selected contact field to your provided criteria. (example: All contacts where the Hostess Field is equal to June Smith ) The second option can only be activated if the first option is being used. When using both options, you can select whether the statements should have a “AND” or an “OR” between the statements. Example: If you wanted a contact selection that includes all contacts in 2 zip codes you would use the “OR” option. If you used the “AND” option in this example the system would produce a blank report because nobody can be in zip code 1 AND zip code 2 at the same time. Be sure that you match any spacing or capitalization when entering field data.

The third option is to filter contacts by contact type. Contact types (customer, consultant, lead…) are listed in a drop down box. This option will usually be used with another option at the same time.

The forth option includes your Direct Mail lists. Including multiple lists at the same time is OK.

When you have finished with your contact selection, click “OK” to open a window where you can name the contact selection and click “OK” to save the selection. When the selection has been saved it will be displayed in the contact selection window. To test the contact selection, click the new selection to highlight it and click on the report icon to create a contact report for your new contact selection.

Linking Selections Contact

Contact selections can be created by linking together other contact selections. Example: You could create several contact selections for various zip codes and then link the selections to create one selection which will locate all contacts in all of the various zip codes. To create a linked contact selection, click on “Link” in the contact selection window to open the link window.

All of your created Contact Selections will appear in the window to the left. To link selection, drag and drop selections from the left window to the right. The description for the new linked contact selection appears at the top of the window. When you have finished dragging contact selections to the right hand window, click “Create Link Selection” to open the Save contact selection window where you can name the new Contact Selection. Linked selections appear just like any other contact selection in the Contact Selection window. You can also create contact selections which include links of links.
