Contact Letters

With your contact located, click on the letters icon located in the center of the contact window under the payment button to open the letters window.

The letters window will open with a new letter loaded. After typing the letter, you can click Save to save the letter without printing, Save/Print to save the letter and print it or Print to print the letter without saving it. When printing the system will automatically send the letter to your printer without first displaying the finished letter. The letter can be displayed in the reports window by clicking on the Print button with your RIGHT hand mouse button. Click on “Format” to change the layout of your letter.

The layout window is similar to the custom invoice window. Letters have 4 regions which can be customized. Your name and address, the contact’s name and address, a resizable bitmap image and the main body of the letter. You can change the location of each region by dragging and dropping the region within the format page. You can change the size of both the image region and the body region by clicking and dragging any border of either region. Double click on a region to change the fonts used or to load an image file. (Bitmaps only)

The region used for your return address will default to your name, address, phone and email address. This text can be changed so that your return address includes any entered information, (multiple phones, title, etc…) The 2 fields at the bottom of the screen are used to automatically insert both a salutation and a closing. The defaults for these fields are “Dear” and “Sincerely”.

When a letter is created, the system will automatically insert the salutation followed by the contact’s name and a comma. When the letter is printed or saved, the system will automatically insert the closing followed by 2 blank lines and then your name. If these fields are cleared, the system will not insert anything. Letter can be saved so have a record of what has been sent to the contact. Click “Save” to save the format for your letters. The system has just the one format so saved letters will be displayed with the current format.
