Calendar Scheduling

Appointments are scheduled by dragging an appointment icon from the calendar toolbar and dropping it onto one of the day squares in the monthly view or on a specific time in the day view. Appointments can also be scheduled with the “Calendar” menu. Select “Schedule Appointments” from the “Calendar” menu. The calendar toolbar is arranged with the four icons to the left for appointments which are scheduled with the current contact. The four icons to the right are used for general appointments which are not linked to any specific contact.

The scheduling icons from left to right are:

Call Backs Callbacks are scheduled for the current contact. Call backs are unique in that contact’s are limited to one callback apiece. When you schedule a callback, the system reschedules the contact’s callback changing it to the new date. This is the same callback that is displayed on the contact’s window.

Skin Care Class Schedules a skin care class for the current contact. Skin care classes are scheduled for the class’s hostess. When entering sales for classes the system will prompt you with a list of current classes. This allows the system to add up all sales for each class and display the class totals on your weekly summary.

Facial Schedules a facial for the current contact. If the appointment is for a double facial, schedule the facial for the contact that you want to appear on your weekly summary.

Contact Meeting Contact Meetings allows you to schedule an appointment with your own description for the current contact. Contact Meetings display your description in the calendar’s monthly and daily view.

Company Event Schedule a company event that is not linked to any specific contact using your own description. Company Events display your text in both the monthly and daily view.

Vacation An important event which should regularly be used to ensure proper performance of both you and your business! Vacation is not linked to any specific contact.

Personal Appointment Schedule an appointment with your own description which is not linked to any specific contact. Your description is displayed in the calendar’s monthly and daily view.

Holiday Used to schedule holidays or other appointments with your own description which displays your description in both the calendar’s daily and monthly view. Holidays are not linked to any specific contact. Holiday descriptions are limited to 20 characters.

Calendar Appointment Recursion

The Calendar has been updated with appointment recursion. You can only schedule reocurring appointments in the calendar's monthly view. When scheduling Contact Appointments, Company Events and Personal Appointments in the month view, a recursion button appears. Click on the Recursion button to open the recursion window.

Appointments can be repeated Daily, Weekly, Monthly, Quarterly or Yearly. Changing the Every _ field will cause appointments to be scheduled with the frequency entered. (1 for every day, 2 for every other day etc...) Appointments can be scheduled until a selected date or for a selected number of times After making your selections click OK.

Appointments that have been scheduled with the recursion feature act like any other appointment. They will apear in the reminder window and any printed calendars. Canceling an appointment that was scheduled using recursion will open an option window where you can cancel the individual appointment or all appointments that where originally scheduled using recursion.
